Urban Pantry, Barrie Good Food Box
Purpose: 
To assist Barrie Good Food Box Pack Day Leader, Barrie Good Food Box Steering Committee  
and/or BGFB Volunteers with administrative tasks to support the Barrie Good Food Box. 
Authority: 
The Admin Coordinator has the authority to complete all admin tasks as assigned under responsibilities. The Admin Coordinator answers to the Barrie Good Food Box Steering committee.  
Responsibilities: 
• Maintain an ordering and pick-up process for purchasers Work with the Barrie Good Food Box Steering Committee to ensure consistent policies, processes and strategies across volunteer and member activities. 
• Maintain website, email, phone, social media and Google Drive 
• Check order sites to ensure accurate GFB schedules, flyers and order forms. Replace as needed. 
• Pick up cash orders from order sites on the Thursday morning before the pack 
• Download online orders from website and compile order list 
• Order produce from supplier 
• Email box contents list and order list to Pack Day lead. Double check order list for inputting errors before sending to Pack Day Leader 
• Send email reminder to purchasers on the Monday before the pack 
• Email newsletter to purchasers on pack day (or arrange to have it printed for pack day) 
• Send out quality survey on the Monday after the pack 
• Contact the BGFB Steering Committee if you are unable to complete tasks due to unforeseen circumstances  
• Ensure the confidentiality to the best of her/his ability of all information and the rights of privacy of all purchasers, volunteers and steering committee members 
• Some duties may be delegated to other volunteers in coordination with the Treasurer and/or Pack Day Leader 
Additional Duties: 
• Update GFB data in online community databases as required including on 211 (which is an affiliate of NSMhealthline) and Community Reach 
• Check GFB phone for messages once a week and daily the week before pack day 
• Pass on messages to Pack Day Leader regarding volunteering, food box feedback and other Good Food Box consumers’ concerns 
• Promote the Good Food Box through assisting with updating promotional materials and promotion of GFB internally and in the community 
• Communicate with order sites through email, phone calls and visits to sites 
• Communicate and link with community agencies and organizations as relevant to achieving program outcomes for the Barrie Good Food Box 
• Promotes the addition of more order sites and/or pack sites 
• Work with any additional staff who are hired from grant money

Purpose: 
To run the pack day, organize volunteers and oversee the pickup of the Barrie Good Food Box 
Authority: 
The Pack Day Leader has complete authority and decision-making powers on the day of the pack. The Pack Day Leader answers to the Barrie Good Food Box Steering committee.  
Responsibilities:  
● Recruit and coordinate volunteers  
● Ensure there are two volunteers at each pick-up site 
● Ensure there is one community group and a few volunteers for the pack 
● Coordinate a food demo for pack day 
● Connect with the Admin Coordinator to obtain the order list for each month 
● Print the order list for each pickup site 
● Pack day: Set up the packing space with volunteers  
o Work with Admin Coordinator to follow the attached Coordinator Process document 
o Ensure any program changes are reflected in the Coordinator Process document 
● Coordinate volunteers to unload produce, set up packing assembly line, pack boxes and place bags/boxes in designated areas for each pickup site 
● Assist volunteers with cleanup after packing and to setup for pickup and food demo 
● Ensure that pickup process flows smoothly: phone calls are made midafternoon to purchasers who have not picked up boxes, phone/email/Facebook messages are checked and assist purchasers to take produce to their vehicles or to bus stop if needed 
● Ensure that volunteers clean up at end of day, including stacking of boxes in storage area, organizing of leftover produce for pickup by designated organization 
● Related duties as required

Main location Barrie Free Methodist Church , 284 Cundles Road
We are looking for volunteers to assist with pick-up day on the second Wednesday of the month between 9:00 am - 7:00 pm at a variety of pick-up sites around the city of Barrie. 
Volunteers help greet clients, distribute boxes to clients when they arrive to pickup, prepare order forms, and other general tasks. 
Volunteers needed the second Wednesday of the month.
